My Workspace

My Workspace is the part of Switchboard that belongs to you rather than to your organization. Every page under it is scoped to your own extension: your calls, your voicemail, your settings. You don’t need admin permissions to use any of it.

If you’re a rank-and-file user (not an account owner or admin), My Workspace is the only section in your sidebar, and My dashboard is where you land when you sign in.

Three cards summarize what matters today.

CardWhat it shows
My extensionThe extension number paired to your account, plus your display name. Settings → opens My phone.
StatusWhether you’re Available or on Do not disturb. DND sends incoming calls straight to voicemail. Forwarding → opens your forwarding rules.
Recent callsYour last three calls, with the other party and the time. See all → opens Call history.

The dashboard is read-only by design — it shows snapshots and links to the page that owns each piece of configuration.

Your extension’s own settings.

  • Extension number, Display name, and Caller ID name (CNAM) are managed by your administrator and are shown here for reference only.
  • Do not disturb is yours to control. Turn it on and every incoming call goes to voicemail without ringing your devices. Remember to Save changes.
  • Pulse mobile app pairs the Pulse app to this extension with a one-time QR code. The code is single-use and expires in 7 days. In Pulse, go to Account → Pair with QR and scan.

Your mailbox, and only yours. Each message shows the caller, the duration, and when it arrived; the count above the table tells you how many are still unread.

  • Filter with All / Unread / Read.
  • Select a row to open the message, play it, and read its transcription when one is available.
  • Delete anything you no longer need with the trash icon on the row.

To change the mailbox itself — greeting, PIN, notification email — use Voicemail settings.

Your inbound, outbound, and internal calls: the most recent 50, newest first. Each row is one call, with the time, direction, the other party, the talk duration, and whether it was answered. Select a row to open the full call detail.

Recordings appear in the detail panel only if your administrator has granted you the recording-playback permission — it is off by default, because call-recording access is regulated in two-party-consent jurisdictions.

Settings → Voicemail is where you make the mailbox yours.

SectionWhat you set
GreetingGenerate a greeting from an AI voice, pick one from your organization’s library, or record your own from your desk phone by dialing *98.
VoicemailThe target mailbox (your own, another extension, or none), your PIN for dialing in, and the notification email your messages are sent to.
BehaviorWhether the audio is attached to notification emails, whether a copy is deleted after emailing, whether the caller’s number and the date/time are announced during playback, and whether callers can review before sending.

Leave the PIN field blank to keep your existing PIN — the current value is never shown back to you.

Settings → Forwarding gives you three independent rules:

  • Forward all calls — every call to your extension goes to the destination instead of ringing your devices.
  • Forward on busy — used when you’re already on a call.
  • Forward on no answer — used when nobody picks up before the ring timeout.

Each destination takes an internal extension (e.g. 4001) or an external number with its area code (e.g. 6475550100).

The SIP credentials for registering a deskphone or softphone to your extension: username, password, SIP server, WebSocket URI, extension, and display name. Each has a copy button; the password is hidden until you reveal it.

My extension number changed but the dashboard still shows the old one. Select Reload at the top right. The dashboard caches for about 30 seconds.

The Status card shows Do not disturb and I don’t remember turning it on. Most desk phones have their own DND key, and an administrator can set it too. Turn it off from My phone or Forwarding.

I just made a call and it isn’t in my history. Calls take about 30 seconds to land. Reload after a minute.

Can I customize the dashboard layout? Not today — the three cards are fixed.
