Voicemail Settings

My Workspace → Settings → Voicemail (/my/settings/voicemail) is the setup side of your mailbox. Everything on it applies to your own extension only, and you can change all of it yourself.

The greeting is the audio a caller hears before the tone. With nothing set, they get the plain system default. Three ways to change it:

  1. Click Generate from a voice.
  2. Pick a voice. The gender and language menus narrow the list; the play button beside a voice auditions it with a canned phrase.
  3. Choose a quick pick — Standard, After hours, or Personal — or type your own script in Text to read (up to 500 characters). Quick picks are starting points; edit them freely.
  4. Click Preview (free) and listen. Previews don’t count against your voice allowance.
  5. Give the recording a name (one word: lowercase letters, numbers, hyphens, underscores), optionally a description, then Save and use as greeting.

The saved recording lands in the Greetings library and is attached to your mailbox in the same step. Once set, the card shows the greeting name and script with three controls: play, Replace (opens the generator again), and Remove (back to the system default — you’re asked to confirm).

Where messages from missed or unanswered calls land:

  • Own — your own mailbox. This is the normal setting.
  • None — voicemail is switched off entirely; callers fall through to hangup instead of hearing a greeting.
  • Another extension — messages are deposited in a colleague’s mailbox instead, useful while someone covers for you. In that mode the target extension’s greeting plays and they get the message-waiting notification. Your greeting, PIN and behavior settings are kept but inert until you switch back to Own.

An extension that is already forwarding its own voicemail elsewhere isn’t offered as a target, so you can’t build a chain of redirects.

  • Voicemail PIN — 3–10 digits, keyed in when you dial in to check messages from a phone. The browser inbox never asks for it, because you’re already signed in. Your current PIN is hidden: leave the field blank to keep it, or type a new value to change it. Avoid anything guessable from your extension number. There’s no self-serve reset if you forget it — an administrator resets it from the Extensions page.
  • Notification email — where a copy of each new message is emailed, so you can deal with voicemail without dialing in. Leave it blank for no voicemail-to-email.

Change what you need, then Save changes. The phone system picks the new settings up within seconds; a call already in progress finishes with whatever was active when it started.

The page says “No extension paired”. Voicemail is tied to a phone extension. Your account exists but isn’t linked to one yet — ask your administrator to assign one.

I set a greeting but the card still says “No custom greeting set”. Reload the page. The greeting is saved (the confirmation toast tells you so); the card just doesn’t always refresh in place.

Where did the Greeting card go? It’s hidden when the target is None (no mailbox to greet from) or another extension (their greeting plays instead).

Can I have a different greeting for after hours? Not per-time-of-day on your own mailbox — that’s a time condition, which an administrator sets up on the account’s inbound routing.
