Cisco SPA Series IP Phone Setup Guide

Cisco SPA series phones are a legacy device family that remains common in the field. They work with SIPSTACK Nova PBX via manual SIP configuration — there is no auto-provisioning support for SPA phones. If you are purchasing new phones, consider the Yealink T-series or Grandstream GRP series instead, both of which support full auto-provisioning.

Important: Cisco Unified IP Phones (7800, 8800, and 9800 series) require Cisco Unified Communications Manager (Call Manager) and are not compatible with SIPSTACK Nova PBX. This guide covers the SPA300 and SPA500 series only.

Cisco reached end-of-sale on all SPA phones in 2020 and end-of-support in 2024. These devices no longer receive firmware or security updates. SIPSTACK supports them on a best-effort basis, but upgrading to a current-generation phone is strongly recommended.

Getting Your SIP Credentials from Switchboard

Before configuring the phone, gather the SIP credentials you need:

  1. Log in to Switchboard.
  2. Go to Nova PBX → Extensions and open the extension the phone will use (create one first if needed).
  3. On the extension’s SIP Auth tab, note the following values:
    • SIP Proxy / Registrar: Your assigned SIP server address
    • SIP Username (Auth ID): Your authentication username
    • SIP Password: Your authentication password
    • Display Name: Your extension label

You do not need to register an SPA phone under Nova PBX → Devices — that page is for auto-provisioned phones.

  1. Find the phone’s IP address:
    • Press Setup (the wrench/gear key) → Network → Current IP.
    • On some models: press Info or the ? key.
  2. On your computer, open a browser and navigate to http://{phone-ip} (e.g., http://192.168.1.115).
  3. Click Admin Login (top right corner of the page).
  4. Click Advanced to see all configuration options.
    • No password is required by default. If a password was previously set, try admin or cisco.
  1. In the web UI, click the Ext 1 tab (for Line 1).
  2. Under General, ensure Line Enable is set to Yes.
  3. Under Proxy and Registration, set:
    • Proxy: Your SIP proxy address from Switchboard (e.g., sip.sipstack.com)
    • Register: Yes
    • Make Call Without Reg: No
  4. Under Subscriber Information, set:
    • Display Name: Your extension display name (e.g., John Smith)
    • User ID: Your SIP username
    • Password: Your SIP password
    • Auth ID: Your SIP username (same as User ID)
  5. Under Dial Plan (optional), leave as default unless your administrator specifies otherwise.
  6. Click Submit All Changes at the bottom. The phone reboots and registers.

Configuring Additional Lines (SPA504G, SPA508G, SPA514G)

Repeat the process for Ext 2, Ext 3, etc., using the SIP credentials for each additional extension you want to register on the phone. Multi-line SPA phones can register multiple SIP accounts simultaneously.

In the SIP tab of the web UI, confirm or set the following for best compatibility:

These settings ensure reliable call audio and DTMF tone transmission (required for IVR menus and voicemail).

Unlike Yealink or Grandstream phones, SPA phones do not automatically pull configuration updates from SIPSTACK. If your extension’s SIP credentials or SIP proxy address changes in the future, you will need to manually update the phone’s web UI with the new values.

Via phone keypad:

  1. Press the Setup key (wrench/gear icon).
  2. Dial 73738 (spells RESET on the keypad). The phone will prompt for confirmation.
  3. Press 1 to confirm. The phone resets and reboots.

Alternate method (power-on reset):

  1. Unplug the phone’s power source.
  2. Press and hold the # key.
  3. While holding #, plug the power back in.
  4. Keep holding # until the phone displays a reset menu.
  5. Dial 73738 when prompted, then press 1 to confirm.

Limitations of Cisco SPA Phones on Nova PBX

Because SPA phones use only manual SIP configuration, they have the following limitations compared to auto-provisioned phones:

  • No automatic config updates — changes in Switchboard are not pushed to the phone.
  • Not covered by the organization’s provisioning URL — the DHCP option 160 value that auto-provisions Yealink, Grandstream and Poly phones is ignored by SPA phones; they authenticate directly with SIP credentials.
  • No firmware management — SIPSTACK does not manage firmware on SPA phones (Cisco no longer publishes updates for them).
  • No BLF / presence support — busy lamp field keys are not configurable via SIPSTACK provisioning.
  • No XML directory sync — the phone’s directory must be manually maintained.

If you’re ready to upgrade, SIPSTACK recommends:

  • Yealink T43U or T46U for a direct SPA504G/SPA508G replacement
  • Grandstream GRP2614 for an enterprise-grade alternative

Both options support full auto-provisioning, receive regular firmware updates, and are available from major VoIP hardware distributors.
