Yealink IP Phone Setup Guide

Yealink is the recommended IP phone brand for SIPSTACK Nova PBX. All current T-series and conference phones support full auto-provisioning: you register the phone in Switchboard, point it at your organization’s provisioning URL (usually through DHCP option 160), and it configures itself — no manual SIP entry required.

Recommended firmware: 84.x or later for T4x series, 96.x or later for T5x series. For W-series DECT bases see DECT Cordless Phones.

  1. Remove the phone, stand, handset, and handset cord from the box.
  2. Attach the stand to the back of the phone body (slide or clip into place depending on model).
  3. Connect the handset cord between the handset and the port labeled with a phone icon on the bottom of the phone.
  4. Connect an Ethernet cable from your PoE switch port to the port labeled Internet (or SW for pass-through to a PC) on the bottom of the phone.
    • If your switch does not support PoE, plug in the included power adapter instead.
  5. The phone will boot and display the Yealink logo. Wait approximately 60 seconds for it to initialize.

Before You Start: Your Provisioning URL and PIN

Every Nova PBX organization has one provisioning URL and one provisioning PIN that all of its phones share:

  • <slug> is your tenant slug (also the username).
  • <PIN> is your provisioning PIN — 8 digits for organizations set up since September 2026.

Both live in Switchboard → Nova PBX → System → PBX Settings → Provisioning Access. The URL is shown with the PIN masked; the Regenerate PIN button reveals a new PIN, once. The PIN is shown once when generated. Lost it? Rotate it in Provisioning Access — phones keep working on the old PIN for 24 hours.

There is no per-device password and nothing to copy from an individual phone’s page: the same URL provisions every Yealink in your organization.

Step 1: Register the Device in Switchboard

  1. Log in to Switchboard.
  2. Navigate to Nova PBX → Devices → Devices and click Register device. If the page asks you to generate your provisioning PIN first, do that in PBX Settings → Provisioning Access — phones cannot be registered until the PIN has been generated.
  3. Enter the phone’s MAC address — found on the label on the bottom of the phone (format: 001565XXXXXX or 00:15:65:XX:XX:XX).
  4. Pick Yealink and the model, then click Register device.
  5. In the key editor, assign an extension to line 1 (and any BLF / speed-dial keys you want).
  6. Click Apply Changes. Applying publishes the phone’s configuration to the provisioning server — until you apply, the server has nothing to hand the phone.

Step 2: Point the Phone at the Provisioning Server

Option A — DHCP option 160 (recommended, zero-touch). Set option 160 on the DHCP scope your phones use to https://<slug>:<PIN>@cfg.sipstack.com/<slug>/. A factory-fresh Yealink reads it on boot and provisions with no touch. Option B — enter it on the phone. Use this when you cannot change DHCP (a phone at a home office, for example).

  1. On the phone, press Menu → Settings → Advanced Settings (default admin password admin) → Auto Provision.
  2. Server URL: https://cfg.sipstack.com/<slug>/
  3. User Name: <slug>
  4. Password: your provisioning PIN
  5. Save, then confirm the reboot. The phone fetches its configuration and registers with Nova PBX.

The same three fields are in the phone’s web UI at http://{phone-ip} under Settings → Auto Provision (click Confirm, then Autoprovision Now).

After rebooting, the phone’s home screen should display your extension number and the line key should show a solid green or idle state. In Switchboard the device’s provisioning status reads Registered once its configuration has been published. If the line shows Unregistered or Unavailable, see the troubleshooting section below.

The configuration the phone downloads also carries the provisioning server URL and username, so the phone keeps checking for updates on its own (once a day) and immediately when you click Reprovision in Switchboard. The PIN is never written into a configuration file — it stays in DHCP option 160 or in the value you typed on the phone. If you rotate the PIN, update DHCP option 160 (or the phone’s Auto Provision password) within 24 hours.

If auto-provisioning is not available, you can configure SIP manually via the phone’s web interface.

  1. Find the phone’s IP address: Menu → Status → Network (or it may display on the idle screen).
  2. Open a web browser and go to http://{phone-ip} (e.g., http://192.168.1.105).
  3. Log in with username admin and password admin (change this on first use).
  4. Go to Account → Account 1 → Basic.
  5. Fill in the following fields using values from the extension’s SIP Auth tab in Switchboard (Nova PBX → Extensions → [extension]):
    • Display Name: Your name or extension label
    • Register Name: Your SIP username (auth username)
    • User Name: Your SIP username
    • Password: Your SIP password
    • SIP Server 1 Host: Your assigned SIP server (shown on the same tab)
  6. Click Confirm. The phone will reboot and register.

Yealink phones ship with firmware that may be out of date. SIPSTACK does not currently distribute firmware to phones — update it yourself from the phone’s web UI:

  1. In the phone’s web UI, go to Settings → Upgrade.
  2. Check the current version under Firmware Version.
  3. Download the recommended firmware for your model from Yealink’s support site, click Browse to select it, then Upgrade. The phone reboots when the upgrade completes; its provisioned configuration is kept.

Current recommended versions: T43U/T46U → 84.86.0.5+ | T53W/T54W/T57W → 96.86.0.5+

Use a factory reset if the phone has stale SIP configuration from a previous deployment and provisioning is not overriding it. After the reset the phone re-provisions from DHCP option 160 on its next boot; if you entered the URL manually, enter it again.

Via phone menu:

  1. Press Menu → Settings → Advanced Settings (password: admin).
  2. Go to Reset Config → Reset to Factory.
  3. Confirm — the phone will reset and reboot.

Via web UI:

  1. Go to http://{phone-ip} and log in.
  2. Go to Settings → Configuration.
  3. Click Reset to Factory and confirm.
