Creating Extensions

Extensions are the internal phone numbers assigned to users and devices in your Nova PBX system. A 3-digit scheme (e.g., 100–199) is common for small deployments. Plan your numbering before you begin to make room for growth.

  1. Log in to the Nova PBX portal.
  2. Navigate to Extensions and Contacts → User Extensions.
  3. Click Create SIP Extension (the green + button in the top-right action bar).
  4. Fill in the required fields:

ExtensionThe desired 3–4 digit extension number
Email AddressUsed for voicemail-to-email delivery and directory listing
  1. If assigning a physical phone device:
    • Select the Phone Model from the dropdown (Yealink, Polycom, Grandstream, etc.).
    • Enter the 12-digit MAC Address from the sticker on the bottom of the phone.
  2. Click Save.

You can further configure the extension (voicemail, call forwarding, device settings, etc.) using the tabs at the top of the extension detail window.

After saving the extension, physical desk phones pull their configuration automatically over the network. If auto-provisioning is not working:

  1. Ensure the device is on the same network as the PBX provisioning server.
  2. Check that the MAC address entered matches the device exactly.
