Polycom VVX Series Setup Guide

Polycom VVX phones — now rebranded as Poly by HP — are widely deployed and remain fully supported on SIPSTACK Nova PBX. If you have VVX phones already in service, this guide covers how to provision them with Nova PBX. The newer Poly Edge E series and CCX series provision the same way.

Note: Polycom reached end-of-sale on the VVX line in 2022. The phones continue to work and receive security patches, but new purchases should use Yealink or Grandstream. See the IP Phone Overview for current recommendations.

Recommended firmware: UC Software 5.9.7 or later for VVX series. Earlier versions may have TLS certificate issues with HTTPS provisioning.

  1. Remove the phone, stand, handset, and handset cord from the box.
  2. Attach the stand by sliding it into the slot on the back of the phone body. VVX phones offer two angle positions — press the release tab to adjust.
  3. Plug the handset cord into the handset port (left side of the phone body).
  4. Connect an Ethernet cable from your PoE switch to the LAN port on the back of the phone.
    • If PoE is unavailable, use the Polycom 48V power supply (PoE adapter or wall power supply). Standard USB or 5V adapters will not power a VVX phone.
  5. The phone boots and displays the Polycom logo. Allow 60–90 seconds for full initialization.

Before You Start: Your Provisioning URL and PIN

Every Nova PBX organization has one provisioning URL and one provisioning PIN that all of its phones share:

  • <slug> is your tenant slug (also the username).
  • <PIN> is your provisioning PIN — 8 digits for organizations set up since September 2026.

Both live in Switchboard → Nova PBX → System → PBX Settings → Provisioning Access. The URL is shown with the PIN masked; the Regenerate PIN button reveals a new PIN, once. The PIN is shown once when generated. Lost it? Rotate it in Provisioning Access — phones keep working on the old PIN for 24 hours.

There is no per-device password and nothing to copy from an individual phone’s page: the same URL provisions every Poly phone in your organization.

Step 1: Register the Device in Switchboard

  1. Log in to Switchboard.
  2. Navigate to Nova PBX → Devices → Devices and click Register device. If the page asks you to generate your provisioning PIN first, do that in PBX Settings → Provisioning Access — phones cannot be registered until the PIN has been generated.
  3. Enter the phone’s MAC address — printed on the label on the bottom of the phone (format: 0004F2XXXXXX or 64167FXXXXXX).
  4. Pick Poly and the model, then click Register device.
  5. In the key editor, assign an extension to line 1 (and any BLF / speed-dial keys you want).
  6. Click Apply Changes. Applying publishes the phone’s configuration to the provisioning server — until you apply, the server has nothing to hand the phone.

Step 2: Point the Phone at the Provisioning Server

Option A — DHCP option 160 (recommended, zero-touch). Poly phones read the provisioning server from DHCP option 160 by default. Set it on the DHCP scope your phones use to https://<slug>:<PIN>@cfg.sipstack.com/<slug>/ and a factory-fresh phone provisions with no touch. Option B — enter it in the web UI.

  1. Find the phone’s IP address: press Home (house icon) → Settings → Status → Platform → Phone → scroll to IP Address.
  2. Open a browser and navigate to http://{phone-ip}.
  3. Log in with:
    • Username: Polycom
    • Password: the phone’s admin password (factory default 456; your Switchboard-provisioned phones use the admin PIN SIPSTACK configured — ask support if you do not have it)
  4. Go to Settings → Provisioning Server.
  5. Configure the following:
    • Server Type: HTTPS
    • Server Address: cfg.sipstack.com/<slug> — host and slug only, no https://
    • Server User: <slug>
    • Server Password: your provisioning PIN
  6. Click Save. The phone reboots and fetches its configuration from SIPSTACK.

Option C — enter it on the phone.

  1. Press Home → Settings → Advanced (admin password) → Admin Settings → Network Configuration → Provisioning Server.
  2. Set Server Type to HTTPS, Server Address to cfg.sipstack.com/<slug>, User to <slug> and Password to your provisioning PIN.
  3. Press Save and confirm the reboot.

After rebooting, the phone’s home screen should show your extension label on the line key and display a green idle state. In Switchboard the device’s provisioning status reads Registered once its configuration has been published. If the line key shows a red indicator or Unregistered, see the troubleshooting section below.

Poly phones use a multi-file layout. From the same URL the phone fetches a universal master file (000000000000.cfg), its own boot file (<MAC>.cfg) and the files that boot file lists — a platform file, an organization-wide settings file, and the phone’s own registration and settings files. All of them are published together when you click Apply Changes; you never need to manage them individually. The PIN is never written into any of these files — it stays in DHCP option 160 or in the credentials you entered. If you rotate the PIN, update DHCP option 160 (or the phone’s Server Password) within 24 hours.

Poly phones receive an instant “reprovision” signal from SIPSTACK: after you change keys or settings, click Reprovision on the device page and the phone re-downloads its files within seconds.

If provisioning is not available:

  1. Log in to the phone’s web UI at http://{phone-ip}.
  2. Go to Settings → Lines → Line 1.
  3. Under Identification, fill in:
    • Display Name: Your name or extension label
    • Address: Your SIP username (from the extension’s SIP Auth tab in Switchboard)
    • Label: Extension label shown on the phone key
  4. Under Authentication, fill in:
    • Login Credentials → User ID: Your SIP username
    • Login Credentials → Password: Your SIP password
  5. Under Server 1, set:
    • Address: Your assigned SIP server (from the same tab)
  6. Click Save. The phone registers within a few seconds.

VVX phones must run UC Software 5.9.x or later to provision over HTTPS without certificate errors. SIPSTACK does not currently distribute firmware to phones — update it yourself:

  1. Press Home → Settings → Status → Platform → Application → Main. The Build field shows the current UC Software version.
  2. To upgrade, log in to the web UI and go to Utilities → Software Upgrade, choose the Poly hosted server, click Check for Updates and install the recommended release. The phone reboots when the upgrade completes; its provisioned configuration is kept.

After a factory reset the phone re-provisions from DHCP option 160 on its next boot; if you entered the server manually, enter it again.

Via phone menu:

  1. Press Home → Settings → Advanced (admin password).
  2. Go to Administration Settings → Reset to Defaults → Reset to Factory.
  3. Confirm — the phone resets and reboots.

Via phone keypad during boot (hard reset):

  1. Power cycle the phone (unplug and re-plug the Ethernet cable).
  2. As soon as the Polycom logo appears, press and hold the Home button until the LED flashes and the reset menu appears.
  3. Follow the on-screen prompts to confirm a factory reset.

Via web UI:

  1. Log in to http://{phone-ip}.
  2. Go to Utilities → Phone Backup & Restore.
  3. Click Reset to Factory and confirm.
