Hot Desking (Login & Logout)

← How-To Guides

Hot desking lets people share a desk phone while each using their own extension. Log in to a shared phone and it works as your extension until you log out. Hot desking is included with Nova Ultra.

  • An administrator must turn on hot desking for the phone. See For administrators.
  • You need a voicemail PIN of 4 to 10 digits. Your PIN can’t be your extension number, which is the default. To change it, dial *97 from your own phone and choose mailbox options, or ask your administrator.

From a phone with hot desking turned on:

  1. Dial *11.
  2. Enter your extension number, then press #.
  3. Enter your voicemail PIN, then press #.

While you’re logged in:

  • Calls to your extension ring this phone, as well as your own phones.
  • Calls you make from this phone show your extension’s caller ID.
  • *97 opens your own voicemail.

If you’re already logged in on another phone, logging in here moves you to this phone. If someone else was logged in to this phone, they’re logged out.

Dial *12 from the phone you’re logged in to.

You’re also logged out automatically after the time your administrator set for that phone. The default is 12 hours.

Five wrong PINs in a row lock hot-desk login for that extension for 15 minutes. If it keeps happening, each new lock lasts longer, up to 24 hours. A phone that sees too many wrong PINs, for any extension, is also locked for 15 minutes.

An administrator can clear a lockout early in Switchboard (Nova PBX → Devices → Devices, Hot desking section).

A 911 call from a hot desk phone always uses that phone’s own registered location, not the location of the extension that’s logged in. That’s where you are when you make the call.

To turn on hot desking for a phone, in Switchboard go to Nova PBX → Devices → Devices and use the Hot desking section. Changing these settings needs Manage Devices or Manage PBX settings and devices.

  • Turn on Hot desking for each shared phone.
  • Choose its Auto-logout time: 1, 4, 8, 12 (default) or 24 hours, or Never.
  • See who’s logged in to each phone, and since when.
  • Select Force logout to log someone out.
  • Select Unlock on a phone, or choose an extension and select Unlock extension, to clear a wrong-PIN lockout early.

Turning hot desking off for a phone also logs out whoever is logged in to it.
